Job Description

We are seeking a highly professional, organized, and proactive Office/Guest Relations Manager to oversee the smooth, efficient, and visually impeccable operation of a high-profile workplace. This role is central to ensuring flawless day-to-day operations, coordinating logistics, and keeping the workspace guest-ready at all times. In addition to managing front-of-house operations, the role oversees the seamless functioning of the office environment, coordinates with internal teams and vendors, and supports special projects for a fast-paced, dynamic brand.

Requirements:

  • Previous experience in office management, hospitality, or a related administrative role
  • Strong organizational skills and ability to multitask in a fast-paced, high-expectation environment
  • Professional demeanor with excellent communication skills
  • Comfortable supervising support staff and maintaining operational standards
  • Proficiency in office productivity software (e.g., Google Workspace, Microsoft Office)
  • Experience coordinating events or creative projects is a plus
  • High degree of discretion and confidentiality

Responsibilities:

  • Serve as the warm, professional, and polished face of the office, greeting guests and VIP visitors with discretion and hospitality
  • Ensure all reception, meeting, and common areas are meticulously maintained and ready to receive visitors at any time
  • Maintain a clean, organized, and aesthetically pleasing reception and common areas
  • Oversee scheduling and coordination of in-office meetings and events
  • Manage office supply inventory and supplies
  • Coordinate facility maintenance, repairs, and cleaning schedules
  • Supervise housekeeping staff to uphold cleanliness and presentation standards
  • Organize logistics for on-site and off-site projects, including creative shoots or brand activations
  • Assist in planning internal events, team gatherings, and special celebrations
  • Liaise with service providers and suppliers, negotiating contracts when needed
  • Track operational expenses and maintain budget alignment
  • Support executives and staff with ad-hoc administrative needs

Schedule: Monday through Friday with flexibility to work overtime as required

Compensation: Up to $100K based on experience, healthcare coverage, PTO, 401K

Location: Calabasas, CA (on-site, 5 days a week)
