Job Description

We are seeking a dependable and detail-oriented File Clerk to join our team in a fast-paced mailroom/vault environment. This role requires being on your feet for most of the day, handling physical file retrieval and storage tasks, and supporting records lifecycle management. You will be responsible for retrieving, organizing, quality-checking, and filing sensitive customer files, ensuring compliance with legal retention guidelines and internal procedures.

Key Responsibilities:

• Retrieve and pull files from shelves in the vault at the time of loan payoff or charge-off requests.
• Check in and conduct quality assurance (QA) checks on incoming customer files to ensure accuracy and completeness.
• Maintain and organize physical records using 8-digit, color-coded numbered folders.
• Sort and file documents numerically, maintaining strict accuracy and attention to detail.
• Identify legally required documents and ensure they are retained per records retention policies.
• Conduct periodic inventory audits and reconcile file locations as needed.
• Assist with processing of incoming and outgoing mail related to customer file requests.
• Comply with security procedures and confidentiality standards at all times.
• Maintain a clean, organized, and secure vault/mailroom workspace.
• Support additional clerical duties as needed by the department.

Qualifications:

• High School Diploma or equivalent required.
• 1+ year of clerical, mailroom, or document control experience preferred.
• Strong attention to detail and accuracy, especially with numbers and document handling.
• Must be physically able to stand, walk, bend, and lift boxes/files (up to [insert weight] lbs.) throughout the day.
• Familiarity with legal documentation and retention guidelines is a plus.
• Ability to work independently in a high-volume environment with minimal supervision.
• Strong organizational and time management skills.
• Basic computer and data entry skills are a plus.

Work Environment:

• Fast-paced mailroom and vault setting.
• Temperature-controlled but physical, with frequent lifting, walking, and reaching.
• Exposure to confidential and time-sensitive documents.
