Job Description

ROLE

We are seeking an Executive Assistant to support the National Institute of Nursing Research (NINR), Div. of Extramural Science Programs (DESP) in Bethesda, MD You will coordinate day-to-day operations of the Office of the DESP Director.

RESPONSIBILITIES

  • Prepare executive leadership for meetings by assembling agendas, background materials, and managing meeting logistics
  • Prioritize and organize tasks; respond to written communications and assist with conflict resolution
  • Relay requests or urgent information in the executive’s absence and track follow-up actions
  • Support emerging projects and representational logistics, including travel and conference arrangements
  • Draft and process travel requests, training forms, reports, correspondence, and other administrative documents
  • Plan and coordinate meetings (in-person and virtual), including logistics, communications, agendas, and minutes
  • Maintain calendars, track project status, and manage filing of reports and documentation
  • Produce documents and reports using MS Office; manage SOPs, guidance materials, and process documentation
  • Maintain administrative databases, spreadsheets, and emergency contact lists
  • Support onboarding, procurement requests, facility services, and office supply coordination

REQUIRED KNOWLEDGE, SKILLS, & ABILITIES

  • Advanced knowledge in the operation of office equipment to scan, file and/or store electronic and paper documents
  • Expert in use of MS Office suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat
  • Proficient in use of virtual platforms (Teams, SharePoint)
  • Working knowledge of social media
  • Ability to transcribe and edit documents
  • Skills in developing new or modified work methods and automating work processes
  • Strong oral and written communication skills
  • Excellent organizational and time management skills with orientation to detail
  • Works effectively on a team, whether as a team leader or member

REQUIRED EXPERIENCE

  • Experience and demonstrated skill in:

a. Meeting coordination

b. Federal travel regulations

c. Travel planning

d. Meeting minutes/summary reports

e. Identifying ways to improve the effectiveness and efficiency of work operations

g. Tracking progress on assigned projects

PREFERRED EXPERIENCE

  • Experience working with federal, health or military-related organizations
  • Some experience in a similar or equivalent type of position

EDUCATION

  • Bachelor’s degree or equivalent in related field required (Business Management / Administration preferred)

Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
