Job Description

Position Overview:

We are seeking a highly organized, proactive, and professional Executive Assistant to support the Executive Management Team, including the CEO. This individual will play a critical role in managing executive-level communications, coordinating high-impact projects, and ensuring the seamless execution of day-to-day administrative functions. The Executive Assistant will act as a trusted liaison between the CEO, senior leadership, internal teams, and external partners, while also safeguarding sensitive information with the utmost discretion.

Key Responsibilities:

  • Manage complex calendars, coordinate high-level meetings, and ensure executive preparedness
  • Provide comprehensive administrative support including travel arrangements, expense reporting, and correspondence drafting
  • Prepare executive-level documents: reports, presentations, memos, financial statements, and organizational charts
  • Act as the gatekeeper and primary point of contact for the President, facilitating communication between stakeholders
  • Lead or assist in special projects requiring cross-functional collaboration and independent follow-through
  • Conduct background research, compile briefing materials, and provide executive summaries as needed
  • Maintain and organize corporate records, reports, and confidential files
  • Monitor deadlines, track action items, and anticipate executive needs
  • Represent the President and Executive Team in a professional and polished manner internally and externally
  • Handle other duties as assigned to support business continuity and executive effectiveness

Qualifications:

  • 3+ years of experience as an Executive or Administrative Assistant supporting senior leadership, preferably in a corporate environment
  • Strong project management and organizational skills with an ability to manage multiple priorities in a fast-paced setting
  • Exceptional written and verbal communication skills with high attention to detail
  • Proven ability to exercise discretion, handle confidential information, and demonstrate sound judgment
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and adaptable to new technologies
  • Self-starter with a strong sense of urgency, accountability, and initiative
  • Capable of working independently while contributing as part of a dynamic, collaborative team
  • Professional demeanor with strong interpersonal skills and the ability to communicate tactfully at all levels of the organization
